How to maximise your use of the waiting list and what it can & can’t do!
There seems to have been a lot of confusion around the waiting list & wait list bookings – So hopefully this HELP GUIDE explains it better for you on how the feature works.
Firstly – it’s called a Waiting “List” for a reason. It’s sole purpose is to search a list of a bunch of names and the dates required and then send an auto response if a gap becomes available in the diary. Its algorithm is very simplistic, it scans the blank spots in the e-diary and pings anyone with a matching date request via an email. That’s it.
It does not know you, it doesn’t know whether you have a booking already. It cannot think!
So example; It will not go “oh, Steph Bloggs, doesn’t want his/her spot anymore, I’ll cancel that, or I’ll move it for them. I wish LOL! – my work day would be so much simpler if it did. That’s a human interaction requirement!
So, if you don’t want your spot anymore, it’s your job to contact the salon directly OR even better push your booking out to a date that is available. Meaning if a more suitable wait list spot comes up, you can then move it back to the date that now suits you, IF it becomes free. Note; that adding yourself to the waiting list doesn’t guarantee a vacancy will become available, so make sure whatever date you push out to, you can attend, should you NOT get your preferred slot.
The booking fee is attached to the appointment & service, it is NOT attached to your client file/name.
So, when you make an appointment for a Brazilian, you choose the service FIRST, it reserves that service/time, then applies your name afterwards, a bit like reserving a cinema ticket, the fee is attached to the ticket ref, not your name.
o, if you make multiple bookings you will be charged multiple booking fees automatically by the system. This is why it’s so important to MOVE any existing bookings you may have – So you don’t get charged a booking fee twice!!
Likewise, if you book a new slot online and then ask us to cancel the old one.
That’s the same thing and will result in you get charged twice! It’s automated on the system to charge for all new bookings (time slots), and refunds are chargeable to us by our (PCI compliant) payment service provider (Stripe). Therefore, if you request a cancellation of a booking you no longer want, an admin fee will be applied (minimum £5), or you will be asked to keep both slots and push one out to 4 weeks time, if there is space.
If you only want one booking, or are not a regular waxer, be mindful of this before you book.
Notifications on how to use the wait list are on the booking site itself, & on the email you receive when you add yourself to the waiting list as a checklist in the body of the email. We can no longer afford to absorb these costs. Thank you in advance.
I hope you understand that small businesses and independents are seeing unprecedented changes since Brexit & the pandemic, due to global economics, so we are doing our level best to ensure you don’t get charged where it’s avoidable. Waiting lists requests for dates that are not yet released on the system, will be auto deleted. The system is open for 6 weeks in advance (8 weeks in the summer), a new date is opened every 24hrs as it’s rolling. So, if the date you want is not yet open, set yourself a reminder to check back in when it is.
We made the wait list available to hopefully help & save you the hassle of constantly checking for a spot, it is 24/7 as is the booking system itself, but it is not interactive & its function is limited.
We don’t want it to be too clever otherwise robots will take over the universe – LOL
